Hello Chinquapin Owners,
We wanted to make you aware that Katie Nicholson, General Manager, sent the following email to all builders on November 5th. It’s important for anyone in the build process, doing exterior updates, or removing trees to read this and be aware of our current requirements and process.

Email below sent Nov. 5, 2025 to builders
Good evening everyone,
I hope you’re all having a great week! I wanted to share a few quick updates to help make our build process a little smoother for everyone.
Going forward, please send all communications related to build submittals, changes, or questions to build@chinquapinowners.com. This will help us keep everything organized and ensure your requests are handled quickly.
All ARC submittals should now be emailed in PDF format. Printed submittals will no longer be accepted, and the Chinquapin staff won’t be able to scan submissions. If the ARC asks for color or material samples, those can easily be dropped off at the Trading Post Office.
Once a complete submittal package is received, our goal is to review and return it within 10 days. Depending on workload and backlog, turnaround time should not exceed 30 days. We appreciate your patience and cooperation as we work to keep this process efficient for everyone.
A quick reminder that builder signs aren’t permitted on properties under the Chinquapin covenants. Instead, you can add your company name or logo to your build box (required by the county). If you currently have a sign up, please remove it at your earliest convenience — thank you for helping keep our community looking great!
Attached, you’ll find a revised copy of the Chinquapin Design Guidelines and a new appendix regarding the water system. Please have both the builder and the lot owner sign and include the new appendix with all new submittals. For ongoing projects, we’ll need this signed form before returning your compliance deposit.
If you ever have a question, need clarification, or just want to double-check something, feel free to reach out to me directly — I’m always happy to help!
Warm regards,
Katie Nicholson General Manager, Chinquapin Homeowners Association, Inc.
