Office Hours & Communication Update:
We are currently working with Waterfront Group to transition the HOA's phone system and network services.
Currently, calls to the main office number (828.771.7500) are temporarily forwarded to my cell phone. The previous phone system, connected to Waterfront Group’s Cornelius network, is no longer active, though the IP line remains functional. We have new phones ready for installation and expect to have the system fully switched over and operational next week, following completion of the Trading Post sales transaction.
Please note that Rhonda’s new email address is now office@chinquapinowners.com. Kindly discontinue use of her former Chinquapinnc email address.
Rhonda’s work schedule is Monday through Friday, 8:00 a.m. to 4:00 p.m. She is frequently in and out of the office while checking building sites, common areas, and amenities, so email is the best way to reach her. She monitors her inbox throughout the day and will respond as promptly as possible.
If you need immediate assistance, you may contact me directly on my cell phone, and I will do my best to accommodate urgent requests.

Please read these very important instructions in the event of winter weather:
During winter weather events, Lucas Murdock is responsible, within reason, for keeping community roads safe for travel. At times, this involves treating isolated areas with salt or ice melt. During significant snows, Lucas will plow Chinquapin roads until the storm system has passed and the roads are clear. Please note that Cedar Creek Road and Breedlove Road are secondary state roads. During snowstorms, North Carolina's NCDOT prioritizes treating major interstates and primary routes with brine, then with salt/sand, while secondary roads are addressed later, often with a single pass, as resources shift after main arteries are cleared, meaning they become passable but may remain snowy longer.
The weather forecast for this weekend continues to shift, but it currently appears we may experience snow and ice, with low temperatures extending into the beginning of next week.
If your home is vacant for the winter or for an extended period, it is always best practice to turn off your home’s water supply and, when appropriate, winterize it. Many owners have installed water flow meters that allow them to remotely monitor water usage and turn water on or off. This is an excellent way to help prevent major issues.
Please do not turn off your water at the street-side valve. You should have two valves: one at your home and one on the street. The street-side valve is Chinquapin’s, and it is difficult to operate and best left untouched.
In the event of snow, ice, or sleet, the gates will be held open to prevent vehicles from sliding into them and causing unnecessary damage.
The HOA is not responsible for plowing driveways.
Please remember the following safety tips during winter weather events:
Prior to the event, stock enough food and water to last 3-5 days if needed.
If you have a generator, make sure there is enough fuel to last several days.
Have an alternative heat source.
Do not attempt to travel in the community or state highways during and immediately following the weather event.
Limit calls to HOA staff during the event as they are busy clearing roads. If there is an emergency, call 911.
Please do not attempt to contact Lucas during weather events. In the event of an emergency, please call 911. Due to liability concerns, Chinquapin staff are unable to assist with towing or vehicle recovery. If your vehicle becomes stuck, you will need to contact a towing service directly.
Lastly, I can't emphasize enough that you stay home during these conditions. A car left on the roadside is difficult and dangerous to plow around.
Chinquapin Water System:
In the event of a power outage, Well 1 has a generator. Well 2 does not currently have a generator, so if we experience an extended loss of power, Well 1 alone may not be able to fully meet the community’s water needs. We certainly hope this will not be an issue.
Please know that we will communicate as clearly and promptly as possible regarding any water interruptions—during winter weather or at any time—and will do our best to address any issues in a timely manner.
Annual HOA dues & assessment invoicing:
You should have received an email on January 7 about the budget ratification meeting. Based on the proposed budget, annual dues will be $3,850 per lot, and there will be a special assessment of $6,666.67 per lot for the purchase of developer assets. There will also be an option to pay the special assessment in installments, which will be explained in more detail soon.
Because billing is occurring later than normal, any late fees will be deferred for at least 30 days from the date charges are posted. You can expect to receive a statement from IPM within the next week or two once the amounts have been applied to your account.
